We’ve fine-tuned our retreat processes to ensure a safe and stress-free experience. Please ensure you’re familiar with our terms and conditions before booking your retreat. We’ve also put together a dedicated Travel with Confidence page, so you can book with confidence as the situation around COVID-19 continues to evolve.

Our responsibilities

Your booking

Multi-Day & International Retreats

  • You will receive an online quote that includes your booking details and The Yoga Travel Company terms and conditions.
  • Once you have accepted your online quote, you will receive a booking confirmation email, retreat registration form, and an invoice for the non-refundable deposit payment (500 NZD for domestic & 1000 NZD for international). If your booking is made inside 60 days you will receive an invoice for full payment.   
  • For partially paid bookings, you will receive an invoice for the remaining balance due 60 days prior to the retreat start date.

Domestic Fundraiser Retreats

  • You will be required to pay online in full and will receive a receipt for payment directly from our payment gateway Stripe.
  • Once you have paid online, you will receive a booking confirmation email and retreat registration form.

Retreat pricing

  • Retreat prices are listed, quoted and invoiced in $NZD.
  • New Zealand GST (Goods and Services Tax) of 15% is included in the retreat cost.
  • From time to time, The Yoga Travel Company may offer reduced pricing on certain retreats. The reduced pricing applies only to new bookings. Bookings, where payment of at least a deposit has been received by The Yoga Travel Company, are not entitled to the reduced pricing.

If we cancel or postpone a retreat

  • The Yoga Travel Company reserves the right to cancel or postpone a retreat for any reason, including an insufficient number of participants, or circumstances beyond their control (e.g. Covid-19 government-imposed travel restrictions, Covid-19 government-imposed self-isolation requirements, natural disasters, political instability, terrorism, or other unforeseen external events). 
  • If The Yoga Travel Company cancels or postpones a retreat in which you are holding a fully, or partially, paid booking, you may choose between booking the revised dates, a 100% credit to be used on an alternative retreat or a full refund. The Yoga Travel Company holds no responsibility for any incidental expenses that you may have incurred as a result of your booking being cancelled.
  • If an alternative retreat chosen is of a lower value than that originally booked, then you are entitled to a refund of the price difference. If the difference is of higher value, you must pay the difference.
  • The last possible date on which a decision for a retreat to be cancelled will be no later than 30 days prior to the retreat start date. 

Schedule

  • Retreat schedules are subject to alteration without notice and are intended as a guide only. The Yoga Travel Company reserves the right to change the schedule without any notice. Any additional expenses incurred by the participant are not The Yoga Travel Company’s responsibility. 
  • The Yoga Travel Company works with local specialist operators to deliver certain components of their schedule; including hoteliers, transfer companies and tour excursions. Whilst all reasonable care is taken in selecting these operators, The Yoga Travel Company will not be liable for the failure of any services or attractions beyond its control.

Liability

  • Whilst The Yoga Travel Company will take all reasonable steps to provide an enjoyable retreat, it accepts no liability for any loss of enjoyment experienced by participants due to circumstances The Yoga Travel Company deems as beyond its control. The Yoga Travel Company further accepts no liability for any loss beyond its reasonable control and provides no warranties in addition to those set out under The Fair Trading Act 1986, and nothing herein restricts any participant from exercising their rights and remedies pursuant to Law.
  • On retreats including activities such as hiking and swimming, participants accept that degrees of risk are involved.
  • No participant will be permitted to embark or continue on retreat while their mental or physical condition is, in the opinion of any representative of The Yoga Travel Company, such as to render them incapable of caring for themselves or whereby they become objectionable to other participants, or they become a hazard to themselves or other participants. The Yoga Travel Company will not be responsible for any expenses resulting in such persons being precluded from completing the retreat.

Your responsibilities

Your booking

  • It is your responsibility to carefully check the details of the online quote provided to you by The Yoga Travel Company (including dates, room type, and optional extras) and read the booking terms and conditions before accepting the quote. 
  • Accepting your online quote confirms your booking and acknowledges your agreement to The Yoga Travel Company booking terms and conditions.
  • The Yoga Travel Company caters to the dietary requirements as specified on the retreat registration form. Any special meal requirements outside of those specified will be made on a request basis only. The Yoga Travel Company cannot guarantee these requests, nor will it assume responsibility if these are not fulfilled.

Paying for your retreat

  • A non-refundable deposit payment is due at the time of booking. 
  • The balance of your retreat must be paid in full no later than 60 days prior to the retreat start date. You will receive an invoice 2 weeks prior to the due date. 
  • In the case of bookings made between 60 days and the scheduled departure date, full payment is required at the time of booking. 
  • If payment is not made by the invoice due dates, The Yoga Travel Company reserves the right to cancel your booking and assume any cancellation charges.
  • For credit card payments made online, there is an additional 3% credit card fee per transaction.
  • Virtual retreats require full online payment at the time of booking and are inclusive of the 3% transaction fee.

If you cancel a booking 

  • All cancellations are to be made in writing to The Yoga Travel Company. 
  • For bookings cancelled due to reasons other than Covid-19, cancellation fees are dependent on when The Yoga Travel Company receives notification of the cancellation as stipulated below:

Destination Retreats

  • For bookings cancelled more than 60 days before the retreat start date, your non-refundable deposit will be held as a lifetime credit and can be used towards a future retreat
  • Bookings cancelled between 59 days and 30 days before the retreat start date will incur a 50% cancellation fee of the total retreat price
  • Bookings cancelled between 29 days and 15 days before the retreat start date will incur a 75% cancellation fee of the total retreat price
  • Bookings cancelled within 14 days or less of the retreat start date will incur a 100% cancellation fee
  • No refunds will be made after the retreat has commenced
  • No refunds will be given if a participant voluntarily leaves the retreat for any reason
  • Any inclusions that you choose not to partake in will not be refunded to you.

Optional Extras

  • As a number of our optional extras (e.g. treatments or private consultations) are provided by our local partners, the cancellation fees vary and any refunds will be treated at the discretion of The Yoga Travel Company. 

Domestic Fundraiser Retreats

  • Domestic Fundraiser Retreats are non-refundable, but you can transfer your booking to another guest. 

The Yoga Travel Company Covid-19 Cancellation Policy:

  • For any bookings cancelled due to Covid-19 government-imposed travel restrictions, or government-imposed self-isolation, you will receive a 100% credit to use on a future retreat. This credit can be applied towards any retreat within 24 months of the original retreat start date. 
  • For cancellation due to Covid-19 government-imposed self-isolation or Covid-19 illness or Covid-19 illness, you will need to show proof of self-isolation requirements. 

Travel Insurance

  • Travel insurance is your responsibility and we strongly recommend that you obtain a policy at the time of booking. Failure to obtain travel insurance is at your own risk. When obtaining travel insurance, you must comply with the insurers’ regulations and disclose all information relating to your retreat.

General terms

Minimum and maximum numbers

  • The Yoga Travel Company requires a minimum number of participants in order for a retreat to be financially viable. The minimum number for each retreat varies based on arrangements with the venue and suppliers. In the event that minimum numbers are not reached, it may be necessary to cancel a scheduled retreat. In this event, The Yoga Travel Company will endeavour to offer an alternative retreat date. If an alternative date is not provided, or suitable, a full refund will be provided as per clause 3.
  • The maximum number of participants for each retreat varies based on the capacity of each venue. The Yoga Travel Company restricts total participant numbers to a maximum of 18 people per retreat.   

Covid-19 Vaccination Policy

All retreat participants are required to produce proof of Covid-19 vaccination and will be required to provide a copy of their current vaccine passport to confirm their booking. 

Age Policy

The Yoga Travel Company offers retreats across New Zealand that are designed for adults. As part of this, we cannot accept anyone who is under the age of 18 on our retreats unless at the discretion of a representative of The Yoga Travel Company. 

Customer Feedback

If a problem occurs during your retreat then it is in your own best interest to inform the retreat facilitator immediately. This will ensure steps can be taken to resolve the problem as soon as possible. Accident Compensation Commission (ACC)

If you are injured whilst in New Zealand, ACC may be able to help with the cost of the treatment and support your needs whilst in New Zealand. However, it is important to be aware that you cannot sue for personal injury – ACC replaces that right. Furthermore, ACC only covers treatment and rehabilitation costs whilst in New Zealand; it is not a replacement for travel insurance and does not cover illness, disrupted travel plans or emergency travel to get you home.

Exclusions

The following are excluded from the retreat price; airfares to and from the retreat, airport taxes, insurance, laundry, phone calls, beverages and meals not specified in the inclusions, excess baggage fees, optional extras (e.g. treatments and private consultations). 

Behaviour and Consent

The Yoga Travel Company aims to provide a safe and enjoyable environment for all participants and staff on our retreats. Therefore please make a note of the below conditions:

  • The Yoga Travel Company does not tolerate any form of abuse, verbal or otherwise, of our staff. Any person abusing or threatening The Yoga Travel Company Limited staff or associated representatives will automatically forfeit their right to continue the retreat 
  • There might be times when The Yoga Travel Company staff and/or representatives have to make decisions within the best interest of safety for its participants. It is a condition of booking that you comply with the authority and decisions of the appointed representative of The Yoga Travel Company. 
  • Should you choose not to comply with the said representative, or are not compatible with the general enjoyment and well-being of members of the retreat, The Yoga Travel Company reserves the right to refuse to allow you to continue with the retreat.
  • In such a case that you are removed from the retreat, The Yoga Travel Company will not be liable to provide you with any refund, compensation or any additional costs incurred by you.
  • The Yoga Travel Company cannot accept liability for the behaviour of others on your retreat, nor if any activities are curtailed as a result of their actions.
  • The Yoga Travel Company representatives may take on-retreat photos and video recordings of you whilst you are a participant. These may be used in The Yoga Travel Company brochures and/or advertising and publicity material (including social media) without obtaining any further consent or payment in respect of such photographs and/or films. 

Fitness and Medicals

Some activities are strenuous in nature. Participants should be of reasonable health and fitness and carry all required medication. The Yoga Travel Company must be advised of any pre-existing medical conditions at the time of booking.

Amendments

The Yoga Travel Company reserves the right to update or alter these Terms at any time. The most up to date copy of these Terms may be accessed at any time on The Yoga Travel Company website and will be attached to your quote. The Yoga Travel Company recommends that participants familiarise themselves with these terms prior to travel.
